Who we are

Pinewood Gardens (60-104 Owners Corp.) ("we") sends building and community notices to residents and shareholders by email and text message. This policy explains what information we hold and how it is used.

Information we collect

Name, unit, email address and mobile phone number, provided by management records or by you.
Your notification choices (text opt-in, and email or text opt-out), with the date, how it was given, and the IP address and browser used, so we can prove you agreed.
A record of notices sent to you and whether they were delivered.

How we use it

Only to send you building and community notices (for example maintenance, water shutoffs, safety alerts and meeting notices) and to keep records of your choices. We do not send advertising.

Who we share it with

We use service providers to deliver messages and host this system: Twilio (text messages), Twilio SendGrid (email) and Google Cloud (hosting and backups). They process information only on our behalf. We do not sell your information. No mobile information (including phone numbers and text-messaging consent) is shared with third parties or affiliates for marketing or promotional purposes.

Text messages

Text messages are sent only if you opted in. Message frequency varies. Message and data rates may apply. Reply STOP at any time to cancel and HELP for help. See the text message terms.

Cookies and tracking

This system sets a single cookie that keeps staff logged in and protects forms against forgery. It is strictly necessary, expires when the browser closes, and is not used for advertising or tracking. We do not use analytics or advertising cookies, and our emails do not contain tracking pixels.

Retention

We keep your contact details while you are a resident or shareholder. Records of your consent and opt-out are kept for at least four years after you stop receiving notices, as evidence of your choices.

Your choices

Emails are sent to the addresses on file with the managing agent. You can unsubscribe from email, or withdraw text message consent, at any time using the link in any email we send; for text, reply STOP to any message. You may also contact us. To see, correct or delete your information, contact us below. Records we must keep as proof of consent may be retained.

Security

Access is limited to authorized management staff, passwords are stored hashed, traffic is encrypted, and the database is backed up nightly.

We will update this page when practices change; the date above shows the latest revision.
